Linking Content

A powerful feature of Quality Systems Toolbox is the ability to link content together. This lets you click through content in a similar way to browsing the internet.

For example, from an asset you might link to relevant procedures/work instructions. The work instruction links to the form that should be filled out while performing the work. The procedure document links to documentation of the next part of the process. The work instruction, procedure and/or the asset itself could link to an experienced employee who can provide training. This asset is regularly calibrated, which is tracked with an asset schedule and associated records. There’s a link from the schedule directly to the calibration procedure, and a link to an external provider who services that piece of equipment. The asset also shows links to any related issues, so it is easy to see if there’s a problem, or to check whether a recent problem has been addressed.

You can create links between content in several different ways:

Wiki linking

When you use Pages in the Document Manager and many of the other text fields in content items in Quality Systems Toolbox, you can use wiki-style linking to quickly create links to other content.

Simply enclose the title of the content you want to link to in double parentheses i.e. ((title)). For example, to link to this page, you would type ((Linking Content)) in the body of the text.

Quality Systems Toolbox will find the other content and create the link automatically. The search for content with a matching title begins in the current module. If there is no match, the linking program will look in the rest of the site. When there is more than one piece of content with the same title, a link will be made to the content that was created first.

To force the link to be the content you want, you can make a link in the Rich Text Editor using Internal Linking.

Internal linking

When editing a rich text field with the wysiwyg editor (‘wizzy-wig’ – what you see is what you get), you can create an internal link to using the button that looks like a chain link.

Click on the button and then search for or browse to the content you want to link to. If you highlight some text before clicking the link button, the link will be made using your selected text. If you do not select any text before making a link, the title of the content you link to will be inserted into the page text as the link text.

When editing Page text with the rich text editor, Kupu, you can create an internal link using the button that looks like a chain link.

External linking

If you want to link to a web page that is not in your Quality Systems Toolbox site, you will need to create an External link. For example, you might want to link to a great site on quality management systems.

Use the button that looks like the Earth.

Click on the button and then type or paste in the URL. You can preview the URL in this window to make sure it is correct. If you highlight some text first, the link will be made using your selected text. If you do not select any text before making a link, the URL of your link to will be inserted into the page text as the link text.

‘Related Items’ Linking

Documents, Pages and some other content types in Quality Systems Toolbox have a special field for making links to other content. In the Related Items field you can search for or browse to internal Quality Systems Toolbox content and insert the link. These Related Items will be listed separately to any text the content may contain.
